01Who this policy covers
This policy applies to visitors of https://firmgroundtechnologies.com, people who contact us, and clients whose information we handle while delivering our services. FirmGround Technologies Private Limited is based in India and serves businesses globally.
Some of our products, such as CRMaster, are operated on their own websites and apps and may have their own privacy policy. Where that is the case, that policy governs the product.
02Information we collect
Information you give us:
- Consultation form: your full name, business or company name, WhatsApp number, email address and the requirement you describe.
- Conversations with us by WhatsApp, phone, email or video call, including anything you choose to share.
- Project information during an engagement, such as brand assets, content, business data, and access to accounts or systems that you grant us to do the work.
- Billing details needed to issue invoices and receive payment, such as company name, address and GST number.
Information collected automatically:
- Standard server and security logs, which may include your IP address, browser type, device type, pages requested and timestamps.
- A theme preference (light, dark or system) saved in your browser, if you change it. See our Cookie Policy.
We do not ask for payment card, UPI PIN or net-banking credentials on this website. This website does not currently use advertising or analytics trackers.
03How the consultation form works
When you submit the consultation form on this website, two things happen. First, your entries (name, business name, WhatsApp number, email and requirement) are sent securely from our server to our CRM, CRMaster, a customer-relationship tool we operate, so that our team can follow up with you. Second, your entries are assembled into a message and opened in WhatsApp (via wa.me) addressed to our team. Nothing is sent over WhatsApp until you press send.
Once you send that message, it is processed by WhatsApp (Meta Platforms) under their terms and privacy policy, and our team receives it on our WhatsApp account. We hold both records as a business enquiry as described in this policy.
04WhatsApp and other messaging
We use WhatsApp (the WhatsApp Business app or the WhatsApp Business Platform, which may be provided through an authorised service provider) to talk to prospects and clients. Your phone number, name, and the content of your messages are used for this purpose, and WhatsApp (Meta Platforms) processes them under its own terms and privacy policy.
Consent (opt-in): we message you on WhatsApp only if you contacted us first, for example by sending us a message or submitting our consultation form and agreeing to be contacted, or if you otherwise gave us your clear permission to message you on that number.
What we send: replies to your enquiry, proposals, project updates, invoices and payment reminders, delivery and support messages, and, only if you have agreed, occasional service news. We do not send unrelated bulk or promotional messages, and we do not sell or rent your number.
Opting out: you can stop messages at any time by replying STOP, by telling us in the chat, or by emailing us. We will stop promptly, except for messages we are required to send about an active project, billing or legal matters.
You can also block or report our WhatsApp number from within WhatsApp at any time.
05How we use information
- To respond to enquiries, run consultations and prepare proposals.
- To deliver, support and improve the services you engage us for.
- To invoice, collect payment, keep accounting records and meet tax and legal obligations.
- To communicate about your project, including updates, requests for input and support.
- To keep our website and systems secure and to prevent fraud or abuse.
- To send occasional updates about our services only where you have asked for them or where permitted by law. You can opt out at any time.
We rely on your consent, the need to perform a contract or take steps you request before one, our legitimate business interests, and legal obligations. Where consent is the basis, you may withdraw it at any time.
07Third-party services and links
This website loads fonts from Google Fonts, which means your browser connects to Google servers and your IP address is visible to them. It also links to external sites, including client portfolios, FirmGround's blog, CRMaster and the Google Play Store. We do not control those sites and are not responsible for their privacy practices. Please read their policies.
08Client and project data
When we build or run something for you, we handle your business data, and your customers' data, only to deliver the agreed work and under the confidentiality terms of our engagement. You remain responsible for having a lawful basis to share personal data about your own customers or staff with us. If you need a separate data processing agreement, ask us before work begins.
09How long we keep information
We keep information only as long as needed for the purposes above. As a general guide, enquiries that do not become projects are kept for a reasonable period for follow-up and then deleted; project and billing records are kept for as long as required by tax, accounting and company law (typically several years in India); security logs are kept for a short period. Where information is no longer needed, we delete or anonymise it.
10Security
We use reasonable technical and organisational measures to protect information, including access controls, encrypted connections (HTTPS) and limiting access to people who need it. No system is perfectly secure, so we cannot guarantee absolute security. If a breach affecting your personal information occurs, we will notify you and the relevant authorities as required by law.
11International transfers
Because we serve clients globally and use cloud and communication tools, your information may be processed outside your country, including outside India. Where we do this, we take steps to ensure it remains protected as described in this policy and as required by applicable law.
12Your rights and choices
Under India's Digital Personal Data Protection Act, 2023 and, where it applies to you, laws such as the EU/UK GDPR, you may have the right to:
- Know what personal information we hold about you and how it is used.
- Ask us to correct inaccurate or incomplete information.
- Ask us to erase information we no longer need, subject to legal retention duties.
- Withdraw consent where we rely on it.
- Nominate another person to exercise your rights if you are unable to.
- Raise a grievance and receive a response.
To use any of these rights, contact us as described in the last section.
13How to request deletion of your data
To ask us to delete your personal information, including your WhatsApp conversation details, email shubhamjha@crmaster.in with the subject "Data deletion request" from the address you used with us, or message us on WhatsApp from the number concerned. Tell us the name and phone number or email address to delete.
We will verify the request, delete or anonymise the information within 30 days, and confirm to you. We may keep limited records where the law requires us to, for example invoices and tax records. Messages held inside WhatsApp itself are controlled by WhatsApp; you can delete those from your own device and chat.
14Children
Our services are for businesses and are not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.
15Changes to this policy
We may update this policy from time to time. The "last updated" date at the top shows when it last changed. If a change is significant, we will take reasonable steps to let you know, for example by a notice on this website.

Please include your name, the email address or phone number you used with us, and a description of your request so we can verify and resolve it. We acknowledge requests promptly and aim to resolve them within 30 days. If you are not satisfied with our response, you may approach the Data Protection Board of India or the relevant authority in your country.
